List computer skills by the work you can perform, not by how comfortable you feel around a computer. “Microsoft Excel: filters, PivotTables, and lookup formulas” tells an employer more than “excellent computer skills.” Choose software and tasks relevant to the job, state your level honestly, and support important claims with a work or project example.

For many office jobs, basic email and browsing are assumed. They can still matter when a posting explicitly asks for them or when your background does not otherwise show digital work. For specialist roles, prioritize the software, systems, and methods the team actually uses.
A practical computer-skills list
| Area | Examples to consider | A specific capability statement | |---|---|---| | Documents | Microsoft Word, Google Docs, document formatting | Created reusable reports with heading styles and consistent page layout | | Spreadsheets | Excel, Google Sheets, formulas, filtering, PivotTables | Reconciled two lists using lookup formulas and reviewed unmatched records | | Presentations | PowerPoint, Google Slides | Built stakeholder decks with clear charts and speaker notes | | Collaboration | Teams, Slack, shared drives, shared calendars | Coordinated meeting schedules and maintained organized shared files | | Customer systems | Salesforce, HubSpot, Zendesk or the system you used | Updated account records and documented follow-up actions | | Accounting systems | QuickBooks, Xero, Sage or your actual software | Entered supplier invoices and checked them against supporting documents | | Design | Figma, Adobe Photoshop, Illustrator, Canva | Prepared channel-specific assets from an approved design brief | | Data and development | SQL, Python, Git, HTML/CSS, testing tools | Queried a dataset, checked results, and documented the method |
The software names are examples, not interchangeable credentials. Experience in one CRM can help you learn another, but it does not mean you have used all of them. Write “CRM record maintenance in HubSpot” rather than listing Salesforce solely because the employer uses it.
Describe proficiency without stars or percentages
“Intermediate” and “advanced” have no universal resume definition. If a posting asks for a level, state it conservatively and add the tasks that support it. Otherwise, skip the rating and name the work.
- Basic: You can complete routine tasks with occasional guidance. Example: create and format a document, sort a spreadsheet, or schedule a meeting.
- Working proficiency: You can independently complete the relevant recurring workflow. Example: maintain a monthly reporting workbook, troubleshoot common formula errors, and explain the output.
- Advanced for a specific task: You can handle complex cases, improve the workflow, and support others. Example: design a validated reporting process using Power Query and documented refresh checks.
These descriptions are an editing framework, not a standardized qualification. Do not write “advanced Excel” because you once followed a tutorial. Ask whether you could perform the employer's likely task without reconstructing every step from scratch.
Computer skills for an administrative resume
An office applicant might write:
Software: Microsoft Excel (filters, lookup formulas, PivotTables), Word (styles and document formatting), Outlook (shared calendars), Google Drive (file organization and permissions).
An experience bullet could then explain: “Maintained the monthly purchase-order tracker in Excel, checked incomplete fields before the finance handoff, and followed up with request owners.” This shows software use inside a real process. It does not invent savings or imply accounting authority.
For a candidate with basic skills, a truthful version is: “Excel: data entry, sorting, filtering, and simple formulas.” That is useful information. Overstating proficiency creates a mismatch when the interview or job involves a more complex task. The administrative assistant guide connects software to wider office responsibilities.
Computer skills for customer service and retail
Prioritize the systems used in customer interactions: order lookup, POS transactions, ticket documentation, inventory lookup, and written communication. A brand name can help when accurate, but the workflow is also important.
Example: “Processed returns through the store POS, checked receipts against the returns policy, and recorded exceptions for the shift lead.” Another: “Documented customer cases in Zendesk with the issue, actions tried, and agreed next step.” These examples reveal what a new employer could reasonably expect you to do.
Do not claim system administration because you used the application as an end user. Creating a ticket, configuring an automation, and managing access permissions are different levels of responsibility. Name the one you actually held.
Computer skills for technical roles
Group technical skills so the reader can distinguish languages, frameworks, databases, infrastructure, and testing. Avoid a flat list that gives a weekend experiment the same prominence as a tool you used for three years.
A junior web developer might use:
Languages: JavaScript, TypeScript, HTML, CSS. Application work: React, REST APIs, PostgreSQL. Delivery: Git, automated unit tests, browser debugging.
A project bullet should connect several items: “Built an appointment-booking interface in React and TypeScript, added form validation, and wrote tests for invalid dates and duplicate submissions.” Label it a personal or academic project if that is what it was. See the software engineer resume-format guide for arranging technical evidence.
What to write when you have no workplace software experience
Use a genuine project with a complete output. For an office role, create a fictional inventory workbook, use formulas to flag low stock, and document how you checked the totals. For a reporting role, use a public dataset and explain cleaning, analysis, and limitations. Keep these as projects, not fabricated clients.
Do not put confidential workbooks, customer information, or employer credentials in a public portfolio. A synthetic demonstration can show your method without disclosing real records. Make the demonstration small enough that you understand every formula or line of code you claim.
A course can support the learning story, but distinguish completion from application. “Completed introductory SQL course; practiced joins in a public-data project” is more informative than an unexplained SQL badge.
Place skills where readers can find them
Use a concise Skills section for important names and a work or project bullet for context. You normally do not need to repeat the same software in the summary, skills list, and every bullet. Repeat it when the second mention contributes evidence.
Keep skill names as selectable text. Icons and logos may look attractive, but the written tool name is easier to understand and inspect after export. Avoid ratings such as four out of five circles: the reader cannot tell what that scale measures.
Final accuracy check
Before submitting, choose the three most important computer skills in the posting and answer: What did I produce? How independently did I work? What problem did I troubleshoot? How did I verify the result? If those answers are weak, qualify the claim or choose a better-supported skill.
The resume keyword extractor can show where recognized tools appear in your current resume. The keyword matcher helps compare wording with an actual posting. Neither replaces your judgment about proficiency.
Is Microsoft Office enough on its own?
It is understandable but broad. Name the applications and relevant tasks when software ability matters to the role. There is no need to list every application in a suite you have not used.
Should I include typing speed?
Include a current, honestly measured speed if the job asks for it or sustained keyboard work is central. Do not guess or imply a formal certification from an informal test.
Should I list AI tools as computer skills?
Only when relevant and when you can explain the workflow, review process, and limits. Naming an AI product is less useful than describing a responsible task you completed and how you checked the output.
